(一)會(huì)議邀請(qǐng)函的含義
會(huì)議邀請(qǐng)函是專門用于邀請(qǐng)?zhí)囟▎挝换蛉耸繀⒓訒?huì)議，具有禮儀和告知雙重作用的會(huì)議文書。
邀請(qǐng)函用于會(huì)議活動(dòng)時(shí)，與會(huì)議通知的不同之處在于：邀請(qǐng)函主要用于橫向性的會(huì)議活動(dòng)，發(fā)送對(duì)象是不受本機(jī)關(guān)職權(quán)所制約的單位和個(gè)人，也不屬于本組織的成員，一般不具有法定的與會(huì)權(quán)利或義務(wù)，是否參加會(huì)議由對(duì)象自行決定。舉行學(xué)術(shù)研討會(huì)、咨詢論證會(huì)、技術(shù)鑒定會(huì)、貿(mào)易洽談會(huì)、產(chǎn)品發(fā)布會(huì)產(chǎn)等，以發(fā)邀請(qǐng)函為宜。而會(huì)議通知?jiǎng)t用于具有縱向關(guān)系(即主辦方與參會(huì)者存在隸屬關(guān)系或工作上的管理關(guān)系)性質(zhì)的會(huì)議，或者與會(huì)者本身具有參會(huì)的法定權(quán)利和義務(wù)的會(huì)議，如人民代表大會(huì)、董事會(huì)議等。對(duì)于這些會(huì)議的對(duì)象來說，參加會(huì)議是一種責(zé)任，因此只能發(fā)會(huì)議通知，不能用邀請(qǐng)函。學(xué)術(shù)性團(tuán)體舉行年會(huì)或?qū)ｎ}研討會(huì)時(shí)，要區(qū)別成員與非成員。對(duì)于團(tuán)體成員應(yīng)當(dāng)發(fā)會(huì)議通知，而邀請(qǐng)非團(tuán)體成員參加則應(yīng)當(dāng)用邀請(qǐng)函。
(二)會(huì)議邀請(qǐng)函的基本內(nèi)容
會(huì)議邀請(qǐng)函的基本內(nèi)容與會(huì)議通知一致，包括會(huì)議的背景、目的和名稱;主辦單位和組織機(jī)構(gòu);會(huì)議內(nèi)容和形式;參加對(duì)象;會(huì)議的時(shí)間和地點(diǎn)、聯(lián)絡(luò)方式以及其他需要說明的事項(xiàng)。
(三)會(huì)議邀請(qǐng)函的結(jié)構(gòu)與寫法
1.標(biāo)題。由會(huì)議名稱和“邀請(qǐng)函(書)”組成，一般可不寫主辦機(jī)關(guān)名稱和“關(guān)于舉辦”的字樣，如：《亞太城市信息化高級(jí)論壇邀請(qǐng)函》。“邀請(qǐng)函”三字是完整的文種名稱，與公文中的“函”是兩種不同的文種，因此不宜拆開寫成“關(guān)于邀請(qǐng)出席××?xí)h的函”
2.稱呼。邀請(qǐng)函的發(fā)送對(duì)象有三類情況：
(1)發(fā)送到單位的邀請(qǐng)函，應(yīng)當(dāng)寫單位名稱。由于邀請(qǐng)函是一種禮儀性文書，稱呼中要用單稱的寫法，不宜用泛稱(統(tǒng)稱)，以示禮貌和尊重。
(2)邀請(qǐng)函直接發(fā)給個(gè)人的.，應(yīng)當(dāng)寫個(gè)人姓名，前冠“尊敬的”敬語詞，后綴“先生”、“女士”、“同志”等。
(3)網(wǎng)上或報(bào)刊上公開發(fā)布的邀請(qǐng)函，由于對(duì)象不確定，可省略稱呼，或以“敬啟者”統(tǒng)稱。
3.正文。正文應(yīng)逐項(xiàng)載明具體內(nèi)容。開頭部分寫明舉辦會(huì)議的背景和目的，用“特邀請(qǐng)您出席(列席)”照應(yīng)稱呼，再用過渡句轉(zhuǎn)入下文;主體部分可采用序號(hào)加小標(biāo)題的形式寫明具體事項(xiàng);最后寫明聯(lián)系聯(lián)絡(luò)信息和聯(lián)絡(luò)方式。結(jié)尾處也可寫“此致”，再換行頂格寫“敬禮”，亦可省略。
4.落款。因邀請(qǐng)函的標(biāo)題一般不標(biāo)注主辦單位名稱，因此落款處應(yīng)當(dāng)署主辦單位名稱并蓋章。
5.成文時(shí)間。寫明具體的年、月、日。

The beginning of a new century urges the new generation of history scholars to optimize the traditional methods, fields, perspectives and materials of history. Contributing as a leading role, Tsinghua University’s Department of History had witnessed the establishment of major milestones of history in the last century. Since 20xx, we have successfully held two international conferences on history. While the 100th anniversary of Tsinghua opens a new page for the university, the Department of History hereby announces the open of The Third International Academic Conference on History from November 23rd to 24th in 20xx, themed “The Reflection and Outlook of History”. Young scholars from all over the world are warmly welcomed to participate，to share and to progress together.
This conference mainly focuses on doctoral studies. Outstanding works by postgraduate and undergraduate students are also welcomed. Papers that represent any scientific endeavor that addresses itself to any history related issues are welcomed. An abstract less than 1,000 words together with a brief introduction less than 300 words of the author shall be received by June 1st, 20xx via email to: thuhistory@163.com. Results of the review process will be notified by June 20th, 20xx at the latest. Paper invitation will be sent to accepted speakers subsequently. In addition, all presented papers will be included by CNKI. Full papers of no more than 20,000 words must be submitted by September 30th, 20xx. The intention is to publish a collected edition of papers from the event. The conference will take place in Tsinghua University, Beijing and free accommodation will be provided for the participants who come to Beijing from other cities and areas. Travel funding may not be available to postgraduate students and early career scholars.
